About this policy

Elite Rental Homes, LLC (we, us, or our) collects and uses personal information in connection with rental housing, property management, our website and online services, and related business activities. This policy applies to prospective, current, and former applicants and residents, household members, property owners, vendors, and others who interact with us, online or offline.

Our application and account services are intended for adults. Adults may provide information about children or other household members for housing and tenancy purposes. This policy supplements applicable agreements, authorizations, and notices; it does not replace them.

Information we collect

Depending on your relationship with us, we may collect contact and identification information; household and rental information; employment, income, financial, payment, and qualification information; application and screening results; reference information and responses; lease and property records; maintenance and accommodation requests; photographs and documents; communications, voicemail, and feedback; and account, device, browser, usage, and security information.

We receive information from you, your use of our services, authorized representatives, household members, property owners, references, and service providers or other sources relevant to the services requested. Provide another person's information only when you have authority or another lawful basis to do so. Each adult supplies their own required consent; household membership does not provide unrestricted access to another adult's private records.

Please use the designated application or verification process for sensitive documents. Do not include Social Security numbers, passwords, complete payment credentials, or unnecessary medical information in general inquiries, texts, or ordinary email.

How we use information

We use information to respond to inquiries; manage rental interest and showings; evaluate and verify qualifications; coordinate applications and screening; prepare and administer leases; manage properties, payments, accounting, maintenance, and resident requests; communicate with you; review feedback and improve services; maintain records; prevent misuse; protect people, property, and systems; comply with law; resolve disputes; enforce agreements; and establish, exercise, or defend legal rights.

We may use automated tools and service providers to organize records and help prepare, summarize, translate, or understand communications. Relevant content may be processed by those providers. Calculations, translations, and other generated results remain subject to the verification and management approval required by the applicable process. Security indicators alone do not establish fraud or determine eligibility.

Providing information does not guarantee rental approval or create a lease. Screening authorizations and legally required decision notices apply separately.

When we share information

We do not sell personal information.

We may disclose relevant information to authorized personnel; property owners and representatives; assigned maintenance vendors; providers supporting hosting, security, document storage and processing, communications, administrative support, screening, payments, and accounting; and professional advisers, insurers, authorities, or other appropriate recipients where reasonably necessary and legally permitted.

Disclosures may support the services described above, comply with legal process, address safety or misuse, resolve disputes, or protect and enforce rights. Relevant records may also be disclosed in connection with a property or management transfer, financing, reorganization, or sale of business assets, subject to applicable law and confidentiality requirements. We may disclose information at your lawful direction or with consent where required.

Access remains limited by the person's role, task, and applicable confidentiality requirements. Independent providers may also process information under their own notices and legal obligations.

Website technology and communications

Our services use cookies, browser storage, and related technology for authentication, security, preferences, and saved form information. We and our providers may collect technical and interaction information, including IP addresses, browser details, timestamps, and email delivery, open, or click events where enabled. A recorded interaction does not by itself establish consent or prove that a person read a message.

You can manage cookies and stored site data through your browser; doing so may affect service features. Saved information may remain on a shared device until cleared. Our website application does not currently change its processing in response to legacy Do Not Track signals. Any opt-out signal required by applicable law is subject to that law.

Retention and security

We retain information according to its business purpose, our relationship with you, legal and accounting obligations, security needs, disputes, and applicable recordkeeping requirements. Different records may be retained for different periods. Legal holds and other preservation obligations can delay deletion, and removal from one system does not necessarily remove independently held records or backup copies.

Our systems include authentication, access restrictions, and other safeguards intended to protect information. Protections vary by system and record type, and complete security cannot be guaranteed. Protect your credentials and private links, and contact us promptly about suspected misuse.

Information may be processed in the United States and other locations used by our service providers, subject to applicable requirements.

Your choices and requests

Use available preference or unsubscribe controls, or contact us about your communication preferences. We may continue necessary service or legal communications through an appropriate channel as permitted by law.

You may contact us about your information, report an error, or request access, correction, or deletion. Additional rights may apply depending on the governing law and circumstances. We may verify your identity and a representative's authority before responding. Requests are subject to applicable law, other people's rights, security needs, and lawful retention or preservation requirements. We honor applicable response, appeal, and nondiscrimination requirements.

A request to us does not automatically change records independently controlled by another provider. Do not send sensitive identification documents through our general contact form.

Other services, changes, and contact

Independent websites and services have their own privacy notices. We may update this policy and its effective date as practices or requirements change, providing additional notice or obtaining consent when required. Posting a revised policy does not itself supply consent required for a new use.
